Administration Manager – Quality, Safety, Environment and Training - Roles, Responsibilities & Benefits

Reports to: Group QSHE Manager

Location: Office-based at Muir House, Inverkeithing, Fife, with occasional day travel. Full, valid UK driving licence required.

Role Purpose

Lead the administration function for Quality, Health & Safety, Environment and Training. Own day-to-day governance of management systems, document control and training records so the business remains compliant, audit-ready and easy to run. Plan workload, set standards and develop the team while delivering accurate reporting for senior management.

Key Accountabilities

Leadership and Governance

· Plan and allocate team workload; set service levels and monitor performance against KPIs.

· Own the QSHE administration procedures and controls; keep them current and practical.

· Chair regular admin huddles; track actions to completion and remove blockers.

· Champion consistent ways of working across sites and business units.

Document Control and Information Management (Microsoft 365 / SharePoint)

· Own the structure of SharePoint Online sites and libraries.

· Set and enforce naming standards, versioning, check-in/check-out and retention labels with clear audit trails.

· Approve and maintain Power Automate workflows for drafting, approval, publication and archiving.

· Oversee access requests, external sharing and sensitivity labels; review permissions regularly.

· Manage project close-out records and O&M content; ensure single source of truth is visible
